New Client Onboarding

Welcome to your hub for a smooth client onboarding. Here, Account Leads and Marketing have clear steps to gather assets, access details, and launch brand materials. Use this page for checklists and resources to guide each stage of onboarding.



For Marketing Team Members

Start this onboarding process if Jessica has confirmed a newly onboarded client.

Active Client Directory

  • Open and update the PPTX in this SharePoint folder
  • Fill up the row in the format using this Perplexity Space and to figure out what industry it falls under 
  • Rename the PPTX with today's date (e.g., Active Company Clients Directory - March 9, 2026.pptx)
  • Export as a PDF with the same date in the name
  • Save the new PDF in "MOST UPDATED Active Client Directory" folder
  • Move the old PDF to "Archive 2026" — only 1 PDF should remain in the "MOST UPDATED" folder

Internal Alerts Email

Jessica will forward a ticket confirming a newly onboarded client, along with the details to get started.

  • Gather all required info:
    • Company name
    • Ticker
    • Website (it will be hyperlinked in their name)
    • Company boilerplate (from the latest NR) 
    • Link to their website as well
    • Link to their LinkedIn company page
  • Check with Jessica for the correct Pod and Lead.
  • Add the updated details and hyperlinks to the draft.
  • Send a test preview link, copy the subject line into the review email, and the link to "MOST UPDATED Active Client Directory" to Sonia, Caroline, and Jessica.

Website

Before adding the client to the website, you'll need the following files:

  • The client's logo (if not found in the client folder, retrieve it from their website).
  • Please make sure the logo has a transparent background and full colour (if they only have black or white logo, use black) 
  • The link to their website.

Once you have these, you can proceed to add the client to the website.

1Pass

If the new client has given any credentials, please make sure to enter them into 1PASS. 

Here are some examples:

  • Investor Email and Platform (Gmail, Outlook, etc)
  • Social Media Platforms 
    • For LinkedIn, please inform the MarCom team to follow the new client's LinkedIn company page so we can all gain access
  • Email Marketing Platform (MailerLite, MailChimp, etc)
  • Website and Platform

Loomly

ONLY IF SOCIALS IS PART OF THEIR MANDATE

  • Create Loomly Account for the new client
  • Connect all the socials we’re managing
  • Leave note for leads if unconnected accounts that we are managing need attention.

Canva

After receiving the client’s marketing materials here, translate into our Canva account.

  • Create a Brand Kit for the new client.
  • Upload their fonts (if they didn’t send it, find their font here online and download)
  • Add their logos, colors, and photos into the Brand Kit.

MailerLite

ONLY IF EMAIL MARKETING IS PART OF THEIR MANDATE

Create a new MailerLite account if the client doesn’t have an email platform yet or an existing account (and if they requested it).

OPTIONAL: Create an embedded form on MailerLite and embed it on their website or send it to Account Lead to forward to the client’s I.T. team.

OPTIONAL: Create a Subscribe Landing Page on MailerLite (e.g subscribepage.io/omni)
